Mailbox out-of-space

IMAP is the recommended mailbox type. If you need to change mailbox types, please speak to your email administrator.

If you need to free some space urgently navigate to our Webmail Service and delete any unwanted emails which moves them to the trash folder. This folder will need to be emptied manually within the webmail interface to free up the space.

For this account type all emails are kept on the Tibus mail server at all times and users normally have a large assigned quota. The emails can be accessed on many devices at once. You can delete directly in the email client (Outlook, Thunderbird, Apple Mail etc), but please note they will only be "marked" for deletion and not removed from the server yet (and therefore not yet free up space) until chosing the option to purge the marked emails.

Purge deleted emails using Outlook

  • Launch Outlook and select the email account you want to manage.
  • In the menu above chose Folder > Purge > Purge Marked Items.
  • This will remove emails flagged for deletion.
  • Right-click on the Deleted Items folder and select Empty Folder.

This account type normally removes email from the Tibus server immediately upon reading in the client, however, some users may adjust their local email settings to keep a copy of email on the server for a configurable number of days (Usually this is to allow the emails to show on a mobile device at the same time as a desktop device). Due to the usually smaller quota size for POP3 accounts, this can lead to a mailbox quickly filling up and running out of space.

Remove emails from the server using Outlook

  • Launch Outlook and select the email account you want to manage.
  • In the menu above choose File > Accounts Settings > Account Settings.
  • Select your email account from the list and select "Change".
  • Under Mail Settings, look for the option titled "Leave a copy of messages on the server".
  • Uncheck the box to no longer leave messages on server, or reduce the number of days to keep messages on the server.
  • Click "OK"
  • Click "Send/Receive" to update the mailbox
